Project Manager (Freelance – start in January) – The Little Voice

Company Overview 

The Little Voice is a committed creative agency, working across disciplines to help brands cut through the noise. We craft campaigns that awaken the inner voice (the one that moves people to choose, to stand up, to engage) and turn that momentum into movements leading to cultural, social, and economic impact. 

 

Position Overview 

 The Project Manager ensures that every project runs smoothly, on time, on budget, and on brand. 

Acting as the operational backbone of the agency, the PM applies and safeguards The Little Voice’s processes, ensuring clarity, consistency, and efficiency at every stage of production.  

This role is freelance, 3 to 4 days per week, starting in January, as a temporary replacement during a 4–5-month maternity leave. 

The PM coordinates the work of strategists, creatives, connection planners, designers, producers, content creators, and copywriters, ensuring that every team member has the right resources and timing to deliver excellence. They work very closely with colleagues from VO EU and must be fully comfortable operating within EU and international institutions. 

They are responsible for planning, budgeting, preparing and reporting client meetings, and ensuring rigorous follow-up with all internal experts. 

They are accountable for the project’s financial health, from defining budget allocations to ensuring margin extraction. 

This is a stress-prone, fast-paced function requiring strong organisational discipline, anticipation, and resilience. 

Languages required: English and French. 

 

 

Key Responsibilities 

1/ Operational excellence 

  • Apply and enforce the agency’s project management process across all teams and clients. 
  • Oversee project timelines, deliverables, and workflow to ensure quality and efficiency. 
  • Turn approved strategies, creative concepts, and connection plans into actionable production workflows and deliverables. 
  • Prepare, structure, and report on client meetings. 

 

2/ Budget and profitability management 

  • Define project budgets in collaboration with the Business Director. 
  • Allocate resources and man-days across all involved expertise (strategy, creation, design, media, etc.). 
  • Track costs, forecast risks, and ensure profitability and margin extraction on all projects. 
  • Prepare monthly financial reviews of managed clients for the Business Director. 

 

3/ Team coordination 

  • Ensure effective communication and collaboration between all internal disciplines. 
  • Anticipate needs, manage priorities, and resolve blockers to keep the project on track. 
  • Maintain clear documentation and transparent reporting throughout the project lifecycle. 
  • Collaborate closely with VO EU teams on relevant EU and international projects. 

 

4/ Quality and brand alignment 

  • Guarantee that all deliverables respect the client’s brand guidelines and communication framework (together with the Creative Director and the Business/Account Director). 
  • Ensure that creative, design, content, and channel decisions align with client objectives by coordinating and activating the relevant experts, without taking direct decisions in these areas. 

 

5/ Administrative and process rigor 

  • Apply and monitor all administrative procedures of the agency, including planning, reporting, and billing. 
  • Ensure accurate and timely financial documentation in collaboration with the Business Director and accounting team. 
  • Contribute to process optimization and continuous improvement within the agency. 

 

 

Qualifications 
  • 5–8 years of experience in a communication or creative agency.
  • Proven experience managing complex, multi-stakeholder projects on EU level.
  • Strong understanding of budget control and resource allocation.
  • Excellent organizational and communication skills.
  • Rigorous, structured, and solution-oriented, with a collaborative mindset.
  • Bilingual in Dutch or French + English at C1 level.
