Team Leader – VO Event

💥Your mission: 

You’re able to turn a brief, together with your project lead and the creative, into a concrete proposal. 

You are able to anticipate needs, discern priorities and meet deadlines. 

Management of pre-production, production and post-production of the projects in collaboration with the team.  

🎯Your key responsibilities: 

1.Pre-production: 

  • Work on calls for tenders / pitches 
  • Search for suppliers and innovative concepts for activities, entertainment, decoration, etc. 
  • Coordination of suppliers and service providers: Liaison and negotiation with suppliers and providers for venue hire, catering, technical services, etc. (intermediary between all parties involved). 
  • Client relations management: preparation of meetings with the client and other stakeholders. Weekly follow-up and status (proposals, summaries, validation requests, etc.). 
  • Administrative and accounting management: drafting requests for proposals, drawing up POs, processing invoices, etc., requiring mastery of internal tools.  
  • Drawing up and maintaining a budget while ensuring profitability + regular status reports to the client. 
  • Communication management: development/implementation of content in an existing registration platform, graphic briefing for the development of visual aids.  
  • Logistics management: managing delivery schedules and deadlines, staffing, coordinating transport and accommodation,  
  • Preparation of schedules, retroplannings, technical leads and team briefings (technical directors, stage managers, technicians, animators/artists, photographers, etc.).  

 

2. Production: 

  • Production of the event together with the teams and suppliers. 
  • Management of unforeseen events 

3. Post-production: 

  • Debriefing with the client and assessment of the experience  
  • Reporting and administrative closing: processing of final invoices and final budget update  
  • Complete CSR reports: My Impact Tool, carbon offset calculation + presentation to client

 You will be a good fit for the role if: 

  • You speak English and French at a C2 level (speak Dutch at a B2 level is a real asset) 
  • You have minimum of a bachelor degree  
  • You are stress resistant, organized and problem-solving. 
  • You have a CSR (Corporate Social Responsibility) mindset. 
  • You adapt easily in a dynamic environment and like to learn. 
  • You are energetic, open-minded and team player. 
  • You are willing to work occasional evenings and weekends.
